Overview

ITility seeks a talented Program Management Support to assist in managing the daily administrative tasks of a company's USAFE PMO team, including scheduling meetings, organizing files, preparing expense reports, handling correspondence, and ensuring the smooth operation of the executive office by providing high-level administrative support. A high level of attention to detail is required to identify errors or mistakes of the PMO. This role will sit onsite in Aviano, Italy. The following roles and responsibilities are included for the USAFE ITility Program Management Office Support position.  Be professional and responsible for managing the daily administrative tasks of a company's USAFE PMO team.

Responsibilities

Responsibilities: 

  • Keep the Program Management Office up to date on TDY, PTO and issues from the weekly update via Microsoft Outlook Invites and weekly update summary.
  • Perform semi-annual customer satisfaction surveys to include summary per task order on results.
  • Conduct monthly financial summaries by task order and portfolio to be uploaded in SharePoint.
  • Build out folders as required per task order from base year to end of period of performance when required.
  • Assist employees when required with expense reports.
  • Be the lead on CostPoint timecards to assure employees are notified of timecard closeout and number of hours required each pay period.
  • Perform Thursday close of business notification weekly of AFMS3 Cornerstone timecard completion.
  • Produce Gain/Loss Notifications to include the correct individual to be gained or loss, correct PWS position number, time in position if a loss without needing correction from the PMO.
  • Be the lead on IT related issues to include submission of IT help desk requests on behalf of Team USAFE.
  • Perform clearance verification requests as required when onboarding new employees, as well as represent USAFE new hire orientation calls when applicable for USAFE hires.
  • Coordinate with ITility payroll and People Operations for minor employee issues.
  • Create accurate ECOPS applications for individual contractors requiring credentialing and assist them with completing their application with correct (resume editing/job description inclusion/docs uploaded).
  • Perform gatekeeper functions for invoicing USAFE projects to assure invoicing is logged coming into the office and departure from the office.
  • Review travel documents for submission to the Government and keep on file approved documents.
  • Vet employee expensing to assure accuracy of charges to the Government.

Qualifications

Required Qualifications:

 

  • Undergraduate Degree
  • Secret Clearance
  • Prior experience managing workflows
  • Knowledge and experience working OCONUS within Government Contracting.

Preferred Qualifications:

  • Prior experience in Program Management Support positions or similar roles. 

Physical Requirements: 

  • This position may require travel to other contract duty locations.

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds.
