We are seeking an experienced and highly organized Project Support Specialist to join our team, which supports technical programs for government agencies. The ideal candidate will have a minimum of three years of experience in a similar role, with a strong background in government contracting or consulting. This role provides crucial administrative and project support to our Technical Operations Leads, helping to ensure the smooth execution of complex projects from inception to completion. The candidate will be an expert user of Jira, Confluence, and ServiceNow to deliver mission-driven capabilities. 

 

You’ll work on our prime contract with USMEPCOM, a key U.S. Department of Defense organization responsible for screening and processing applicants into the Armed Forces. USMEPCOM operates 65 Military Entrance Processing Stations (MEPS) across the country, serving as the critical link between recruitment and training.

Responsibilities

Key Responsibilities:

  • Project and Program Support:
    • Provide comprehensive administrative and technical support to Technical Operations Leads.
    • Assist with project planning, scheduling, delivering weekly stakeholder executive summaries (EXSUMs), and tracking project milestones, risks, and issues.
  • Documentation and Knowledge Management:
    • Create, organize, and maintain project-related documentation, including project plans, meeting minutes, and technical specifications, primarily within Confluence.
    • Ensure all documentation is delivered on time and adheres to government specifications and quality standards.
  • Workflow and Issue Management:
    • Configure, administer, and manage projects, workflows, and dashboards within Jira to align with project requirements and Agile methodologies. \
    • Ensure accurate and consistent record-keeping of all work items.
  •  Service Desk Operations:
    • Utilize ServiceNow for incident management, service request fulfillment, and change management processes.
    • Assist with the maintenance and optimization of ServiceNow workflows and integrations.
  • Stakeholder Communication:
    • Serve as a communication liaison between technical teams, project managers, government clients, and other stakeholders.
    • Support the preparation and submission of contract deliverables, weekly EXSUMs (progress reports), and drafting PowerPoint presentations for client meetings.
    • Provide regular status updates and address inquiries in a professional and timely manner.
  • Additional duties in support of the mission and client. 

Qualifications

Required Qualifications:

  • Experience: A minimum of three (3) years of demonstrated work experience in a project or program support role, with a significant portion of that experience supporting technical programs in a government contracting or consulting environment.
  • Technical Proficiency: Expert-level knowledge and hands-on experience administering and configuring Jira, Confluence, and ServiceNow.
  • Government Experience: Proven experience working with government clients, understanding federal contracting processes, and navigating related compliance requirements.
  • Clearance: Ability to obtain and maintain a DoD government security clearance.
  • Communication Skills: Exceptional written and verbal communication skills with the ability to create clear, concise reports and effectively communicate with both technical and non-technical stakeholders.
  • Organizational Skills: Superior organizational skills and attention to detail, with a proven ability to manage multiple tasks and priorities effectively.
  • Problem-Solving: Excellent analytical and problem-solving skills to troubleshoot issues and identify solutions.
  • Education: Bachelor's degree in a relevant field, or equivalent experience.

Preferred Qualification: 

  • PMP, Agile, or other relevant professional certifications.
  • Active or previous DoD security clearance. 
  • Experience working remote in an Agile/DevOps environment.

Physical Requirements:

  • Ability to sit or stand for extended periods while performing computer-based tasks.
  • Regular use of hands for typing, writing, and handling office equipment; frequent talking, hearing, and seeing.
  • Occasional movement around the office, including climbing stairs.
  • Ability to travel up to 5%, which may include occasional visits to client sites or government installations.
