Provide executive assistance/office management support to Secretary of the Air Force, International Affairs.
Support daily operations of the SAF/IA organization
Provide astute office management support and meet daily, weekly and monthly deadlines to select directorates, and divisions within SAF/IA.
Reviewing, validating,and editing correspondence for the SECAF, CSAF and SAF/IA.
Preparation for briefings, presentations, and discussion material.
Provide records management; correspondence preparation and management; report and document preparation and management.
Use Task Management Tool (TMT) to provide task management and oversight.
Assist with travel arrangements including Defense Travel Systems (DTS) authorizations and vouchers.
Assist in tracking and managing the Government Purchase Card (GTC) program.
Provide support with international and industry specific presentation development, meeting and engagement scheduling, and organizational wide data requests in order to provide sound advice, professional consultation, and assistance to program directors/functional managers.
Complete tasks such as: international engagement and industry conference planning and preparation, country case program management review (PMR) preparation, IT equipment management and oversight, copying, faxing, telephone operation duties, official mail services, tracking and maintaining meeting and discussion minutes, conference calls, regional and country specific trip book development, TMT instruction/monitorship, DTS submitter, review, and instruction/monitor, GTC validation, assisting with official organizational ceremonies, SAF/IA Annual and Quarterly recognition awards development assistance, and acquiring comprehensive knowledge of changes to Air Force Instructions, federal regulations, policies, and directives and an understanding of collaborative systems to update and instruct SAF/IA staff members. Strong expertise is needed
for the use of Microsoft (MS) Office products, i.e. Word, Excel, Outlook, PowerPoint, One Note, and Access
Minimum of Associates Degree required.
Ability to learn to use government systems such as Task Management Tool (TMT), Defense Travel System (DTS) and Aircraft and Personnel Automated Clearance System (APACS) and use without assistance within 30 days of initial training.
Possess a strong comprehension and application of military culture and knowledge of protocol in order to assist with the preparation for and the escorting of high level US government and international personnel during international engagements.
