  • Overview

    Working with detailed specifications presented by the supervisor, incumbents perform a variety of moderately complex tasks for ITility, related to greeting visitors, operating a telephone answering system, controlling physical access to the facility, and performing related clerical duties. PC literacy is needed, including basic knowledge of hardware, software, and systems related to assigned work.

     

    Individuals apply comprehensive knowledge gained in previous assignments. They must know and use well the fundamental concepts, practices, and procedures of a front desk, high-visibility position that involves constant public contact and the need to create a favorable, business-like image of the company at all times. Individuals must possess a quick and alert memory for visitors and employees. The position requires punctuality and attendance as well as tact and judgment to avoid alienation of visitors.      

     

    Individuals typically work under general supervision and direction. They are expected to show judgment and initiative in performing assigned tasks. The position may require rotating shift and overtime assignments.

    Responsibilities

    Receives and greets visitors. (Access Control)

      • Greets visitors
      • Determines nature of visitors’ business
      • Provides appropriate information
      • Issues visitor badges
      • Directs visitors to a location within the facility or to an employee
      • Maintains a visitor log

     

    Operates a telephone answering system.

      • Receives incoming calls
      • Takes messages while speaking in a clear, well-modulated telephone voice using excellent English grammar and diction
      • Delivers messages timely
      • Makes appointments, confirm appointments, provide directions
      • Arranges for adequate telephone coverage when not present to take calls

     

    Executive assistant to CEO, CTO and COO

      • Schedule meetings
      • Arrange travel
      • Enter expense reports
      • Reconcile Credit cards
      • General administrative support

     

    Processes incoming and outgoing mail.

      • Addresses envelopes and packages
      • Coordinates receipt and delivery of packages with delivery services and carriers
      • Processes incoming mail and routes to appropriate destinations

     

    Conference Room Coordination

      • Scheduling of rooms
      • Ensure room set up
      • Computer/teleconference started
      • Presentation on computer, hard copies printed and laid out as needed

     

    Office Management

      • Track and order office supplies
      • Manage vendors
      • Utilities/facilities coordination

     

     

    Performs related clerical duties.

      • Order meals as needed
      • Copies, collates, staples, and binds documents
      • Orders supplies

     

     

    Qualifications

    This position requires a high school diploma plus a minimum one year of applicable experience, including experience related to assigned work.

    General office environment, including ability to:

     

    • See and read computer screens,
    • Concentrate for long periods,
    • Remain in a sedentary position,
    • Sit for long periods, and/or
    • Communicate via computer and telephone
