  • Overview

    Under the supervision of the Branch Chief, the incumbent assists in the administrative and logistical support to CIL staff. This assignment requires a high degree of flexibility, multi-tasking, and time management to support the effective operations of CIL branch.

     

    Responsibilities

    • Responsible for visa/passport acquisition, eCountry Clearance, submit travel locators, and booking travel using e2 Solutions; to include coordinating all logistics and transportation needs for government travel orders and prepare travel vouchers. Incumbent must have knowledge of DOS regulations for government travel.
    • Create and update document to track CIL-related programs and logistics.
    • Maintains CIL SharePoint site.
    • Edit and proofread documents for the office and draft Action and Information memos.
    • Archive and organize documents for historical reference.
    • Assist in auditing appropriated funds allotted to the MSG program throughout the fiscal year, ensuring compliance with DOS regulations.
    • Work independently, with oversight, to advise and assist office personnel on matters of policy, procedures and regulations.
    • Prepare input for DOS briefings to DS management.
    • Study issues and recommend approaches to correct deficiencies or enhance program operations.
    • Develop systems and procedures for establishing, operating and assessing the effectiveness of administrative control systems.
    • Coordinate liaison initiatives with other government and private sector personnel.
    • Support the branch and members of the team in routine office administration, personnel, financial, database administration, and project requirements
    • Serve as the time keeper for branch.
    • Serve as the coordinator for office purchases (i.e. supplies and equipment), office inventory, GSA Property Management, and outside contractors and vendors.
    • Manage Supervisor’s schedule and appointments, place meetings on the Microsoft Outlook calendar, and confirm outside appointments in advance.
    • Manage all scheduled leave and appointments for CIL branch through Microsoft Outlook calendar and DS Employee Tracker site (DSET).
    • Organize conference calls; handle logistical arrangements for office meetings, including coordinating with outside agencies/bureaus.
    • Support proper security protocols; act as a visitor escort, provide oversight of proper storage handling, and destruction of classified material.
    • Responsible for receipt and distribution of office mail.
    • Manage the Division’s vehicle fleet inventory, to include mileage logs, maintenance, placards and parking stickers.
    • Provide logistical support as directed, to include data collection, case management and/or other case support.
    • Provide administrative support for reports, briefings, presentations and special projects
    • Prepare charts, tables, graphs, and diagrams to assist in tracking and reporting program activities.
    • Draft and submit Reports of Investigation through the Investigative Management System
    • Review and distribute various travel notification received from outside law enforcement agencies.
    • Assist in preparing Power Point presentations, briefings lesson plans and training materials as directed.

    Qualifications

    • Bachelor’s degree from an accredited institution
    • Minimum of  4  years  of  progressively  responsible  experience  in  an  operations,  law enforcement, or administrative support capacity
    • Ability to multi-task, work in a fast-paced environment, handle high pressure situations, and successfully track several concurrent deadline-sensitive projects under stressful conditions is required
    • A qualified typist is required with a proficiency in the Microsoft Suite
    • Experience drafting and editing US government reports and documents
    • Capability of  appropriate  handling  of  sensitive,  restricted,  and  classified  information requires a high degree of discretion, maturity, and professional reliability
    • Knowledge of acquisition and management of goods and services
    • Competency with law enforcement computer systems, and/or other technology tools used in relation to S. border security, is desirable
    • Comprehension of  government  operations,  international  affairs,  world  events,  and  the principles of national security
    • Must have an Active Secret Security Clearance

     

    Preferred Qualifications:

    • Effective communication skills, reading comprehension, and the ability to produce clear, concise, and professional written products are required
    • Excellent interpersonal skills working with individuals at all levels within the organization
    • Must have excellent organizational skills, and the ability to work independently with little supervision or as a member of the joint-agency team
    • Ability to lift and carry equipment and/or documents weighing up to 50 lbs
    • Ability to provide group assistance and produce training materials
    • Ability to liaise and coordinate with other government agencies and the private sector
